How to create an estimate PDF
This page explains each part of the estimate generator and what the finished PDF will contain. Work through the form from top to bottom, and each section will match a part of the estimate.
Check the line totals, the subtotal, the tax and the estimated total against your own notes before you download. The PDF is the document your client will see.
What an estimate should include
An estimate tells a client what work or goods you expect to provide and what they are likely to cost. A clear estimate usually shows the following items.
- An estimate number and the date it was issued.
- A valid-until date, so the client knows how long the prices apply.
- The names and addresses of the sender and of the person the estimate is prepared for.
- A line for each item, with a description, a quantity and a unit price.
- The tax rate, if one applies, and the estimated total.
- Terms, such as what is included, what is not included, and how changes to the work are handled.
- An optional acceptance line, if you want the client to sign and date the estimate.
The form has a field for each of these points. The project title is optional, but it helps when a client has several estimates open at the same time.
The Terms box is filled with sample wording so the page is not blank. Replace that wording with the terms you actually use before you download the file.
Estimate, quote or invoice: what is the difference
People use the words estimate, quote and invoice in different ways, and the meaning can change between trades and between countries. As a rough guide, an estimate gives an expected cost for work that has not been done yet. An invoice asks for payment for work or goods that have already been supplied.
A quote is often understood as a firm offer at a stated price for a stated scope of work. Whether any document is binding depends on the country and on what the document says, not only on its title.
This tool gives no legal advice. If the wording matters for a contract or a dispute, ask a qualified professional in your area. The estimate generator makes the PDF from the details you enter. It does not decide which label fits your situation.
How the total is worked out
Each line is the quantity multiplied by the unit price. The subtotal is the sum of all the line totals.
One tax rate is applied to the subtotal. The tax is rounded to the cent, and the estimated total is the subtotal plus the tax. The form uses a single tax rate for the whole estimate. If parts of your work carry different tax rates, work out each amount yourself and enter the figures you need.
The total is labelled Estimated total on the PDF. Check the figures on the finished file against your own calculation before you send it to a client.
- Quantity times unit price gives the line total.
- The subtotal is the sum of all the line totals.
- Tax is one rate applied to the subtotal and rounded to the cent.
- The estimated total is the subtotal plus the tax.
Choosing a validity period and terms
The valid-until date is filled in with a date after today. You can change it to suit the job. A short validity period suits prices that change often, such as materials. A longer one can suit fixed work where the client needs time to decide.
Use the Terms box for conditions the client should read before accepting. Good examples are what is included, what is not included, when payment is due, and how changes to the scope will be priced.
The tool does not check your terms. Whether a term is fair, enforceable or required in your country is a question for a professional. This tool gives no legal advice.
Estimating work by the hour
For hourly work, enter the number of hours in the quantity field and your hourly rate in the unit price field. The line total is then hours multiplied by rate, and the rest of the estimate is worked out the same way.
For example, a line described as design review, with hours as the quantity and your rate as the unit price, shows the cost of that review in the currency you picked.
If you expect the work to take longer than the estimate shows, say so in the terms or the notes. The tool does not track hours and does not send reminders.
What this estimate generator does not do
The tool is deliberately simple. Knowing its limits before you start will save you time.
- It does not add a logo or a company image.
- It does not add a discount line.
- It does not support a second tax rate on the same estimate.
- It does not save your estimates, keep a history or let you reopen an old one.
- It does not send the estimate by email to your client.
- It does not turn an estimate into an invoice. Copy the details into the invoice tool instead.
If you need one of these features, use a document system that supports it, or build the layout yourself in the HTML to PDF tool.
Making estimates from your own system
If you create many estimates from your own software, use the API instead of the web form. The API takes HTML and returns a PDF. Each request converts one document, so send one request for each estimate. There is no batch endpoint.
Your system builds the estimate HTML, sends it with your API key as a Bearer token in the Authorization header, and receives a job ID. The render runs in the background. Check the job until its status is succeeded, then download the PDF from the short-lived link in the result. Failed and timed-out jobs are refunded.
Templates and webhooks are not available yet. Your system has to build the HTML itself and check the job status by polling.
Each render uses credits. A simple render costs 1 credit, and larger results cost more. Credit costs are provisional until launch. Plans and prices are on https://aiipworld.com/pricing/.
Privacy and keeping your records
To make the PDF, the form turns your estimate into HTML in your browser, and that HTML is sent to our render server, which prints the PDF. The web tool deletes the result after 10 minutes when you do not have an account. No history is kept, so the tool cannot show you past estimates.
Keep your own copy of the PDF after you download it. If you use the API, results are kept for the period that matches your plan: 1 day on the free plan, 7 days on the Starter and Pro plans, and 30 days on the Business plan.
Only enter details you are allowed to use. Create estimates only for real work, and read the Acceptable Use Policy on this site for the full rules.
- To keep a record, save the downloaded PDF in your own files.
- To reuse details, enter them again in a new form or in your own system.

Is the estimate generator free?
Yes, the web tool is free. Anonymous use needs a quick human check. Signed-in users skip the check and use credits for the work they do.
Do I need an account to make an estimate?
No. You can make an estimate in the browser without signing up. An account is needed for the API and for signed-in credits.
Is an estimate legally binding?
This tool gives no legal advice. Whether an estimate is binding depends on your country and on what the document says. If it matters for your work, ask a qualified professional.
How long should an estimate be valid?
The form fills in a valid-until date after today, which you can change. The tool does not set the period for you, so choose a date that fits the job and the cost of your materials.
What is the difference between an estimate and a quote?
The words are used differently across trades and countries. In general an estimate is an expected cost, and a quote is often read as a firm offer. Check how your local practice uses each word, because this tool gives no legal advice.
Can I add a logo to my estimate?
No. The estimate has no logo field. Put your company name and details in the sender fields instead.
How is the tax calculated?

Can I save or reuse an estimate?
No. The tool does not save estimates or keep a history. Keep your own copy of the PDF, and enter the details again if you need a similar estimate.
Can I turn an estimate into an invoice?
No. The tool does not convert estimates. Copy the details into the Invoice to PDF tool when the work is done and you are ready to bill.
What paper size does the estimate use?
The estimate is an A4 page with standard margins. The item table's header row repeats on later pages if the list runs over more than one page.
What happens if my estimate has a long list of items?
The item table keeps its header row on each page, so the columns stay readable. If the HTML for the estimate is larger than 256 KB, the tool stops and tells you, so shorten the description text or split the work into two estimates.
Can I use the estimate generator for someone else's business?
Use it only for real estimates for real work. Do not create documents in another company's name. The Acceptable Use Policy on this site sets out the full rules.
What is sent to your servers?
The details you enter are turned into HTML in your browser, and that HTML is sent to our render server to make the PDF. The result is deleted after 10 minutes when you do not have an account. The tool does not email the estimate to anyone.
