How to use this free receipt maker

A receipt confirms that a payment was received. It has no due date and does not ask for money. An invoice asks for payment and usually has a due date. An estimate is a price proposal that you send before work starts.

How the total is worked out
Each line total is the quantity multiplied by the unit price. The subtotal is the sum of all line totals. One tax rate is applied to the subtotal and rounded to the cent. The total paid is the subtotal plus the tax.
The maths runs in whole cents, which avoids small rounding drift between lines. Empty or invalid numbers count as 0, so a blank quantity adds nothing. Enter 0 as the tax rate to hide the tax line. Check the figures in the PDF before you hand it over, especially after you edit a line.
Payment method and the "Paid in full" box
The payment method is a free text field. Type what fits your case, such as Cash, Card or Bank transfer. The text appears in the receipt and inside the "Paid in full" box.
The "Paid in full" box shows that the total was paid. Every receipt from this tool includes it, so use the tool only when the buyer has paid the full amount. To show who issued the receipt, fill in the optional "Issued by" line at the bottom, for example a name and a role.

Receipts without buyer details
The buyer block is optional. If you leave both the name and the address empty, the "Received from" block is left off the PDF. This suits a cash sale at a counter where you do not know the customer.
You can also fill in only the name and leave the address empty. The receipt works without any buyer details. The seller block and the item table stay on the page either way.
Keep the receipt number and date on every receipt, so you can find it later.
Typical uses
Many small sellers give a receipt when a customer pays in cash or by card and asks for proof. A freelancer can send a receipt to confirm that a client's payment arrived. A club, a school or a landlord can also use a receipt to acknowledge a payment.
Rent receipts, donation receipts and tax receipts have extra legal requirements in many countries. This tool does not add those requirements. Check what applies to you before you issue one of these receipts.

Only for real payments
Use this receipt maker only for payments that really happened. The Acceptable Use Policy does not allow forged receipts, receipts for purchases that did not take place, or receipts issued in the name of a business you do not act for. You must not change amounts either.
Do not use a receipt to claim an expense, a refund, a reimbursement, tax relief or insurance money that you are not entitled to. Accounts that do this can be closed, and no payment is refunded. Only the business or person who received the payment should issue the receipt.
What this free receipt maker does not do
This free receipt maker keeps the form simple. It has no logo upload, no discount line and no second tax rate. It also has no tips, partial payments or balance due, and no signature image. Card details are not part of the form.
The tool does not save receipts or keep a history. It does not send receipts by email, and it does not continue receipt numbers from one receipt to the next. Each time you create a PDF, the form is used once. Keep your own copy of every receipt you hand out.
Making receipts from your own system
If you make many receipts, your code can build the receipt HTML and send it to the HTML to PDF API. Send one request per receipt, with your API key in the Authorization header. The request returns a job ID.
Poll the job until it succeeds or fails. The download link is short-lived, so save the file soon after it is ready. Webhooks and saved templates are not available yet, so your code has to check each job itself. Failed and timed-out jobs are refunded.
Currencies, long item lists and paper size
You can choose from eight currencies: USD, EUR, GBP, CAD, AUD, JPY, CHF and INR. Numbers use US-English formatting whichever currency you pick.
The form accepts up to 30 item lines. A long list runs onto the next page, and the header row of the item table repeats at the top of each page. The receipt is printed on A4 with 15 mm margins.
Privacy and keeping your records
The free web tool asks for a human check (Cloudflare Turnstile) before each use without an account. Signed-in users skip the check and use credits instead. Each receipt PDF costs 1 credit when you are signed in.
Results are deleted after 10 minutes. The tool keeps no history, so you cannot look up earlier receipts later. Download the PDF and store it with your business records. Download links are short-lived.
